For QGrants reporting, children who meet funding eligibility requirements will need to be added to the Free Kindy Queensland Kindergarten 2024 program that you create.

Adding a child to the Program
Go to the Families area of the menu and select the account profile for the child.
Select the Agency tab, then +Create
Enter the program details for the child or children.
Account to be Paid
Select the Account to be paid. This is an indicator only, if the child is not eligible for Free Kindy Funding they will not receive any payments.
Est last paid date
Only use this option if the family has received Free Kindy Funding at another centre for the week. This will prevent payment until the next week.
Note: If you have more than one child on the account eligible for the funding, but only one received a payment last quarter, you will need to create two separate Program details.
If the child does not have a health care card, are not a delayed exit child, do not hold a current visa, does not have a disability or does not come from non-English speaking background select Save.
Concession Card
If the family has a concession card to enter, drop down the + Concession Card option and enter the card details. You will also need to upload a document relevant to the Concession Card before it will allow you to Save.
Information Per Child
If the family has provided you with information for the child that needs to be entered, drop down the + Information Per Child option and enter the relevant details, including:
- If the child holds a Visa,
- If the child has a delayed exit from Kindergarten,
- If the child comes from a non-English speaking background,
- If the child lives with a disability
You can also upload a Delayed Exit Information Document, and where applicable, indicate if the child's enrolment was cancelled by the centre and the cancellation reason. After all the information for the child has been entered, select Save.
Adding a child to an Inactive program
If the program has ended and has an 'Inactive' status this will mean the program is completed for that period.
If this is the case, you need to re-activate the program by adding an Ends On date in the future. This will then allow you to go back into the Family Account and add the child through the Agency Tab (See Step 1).
The program details will open and you need to alter the Ends On date to a date that is after the date of today and select Save.
Once you have followed Step 1 - adding the child you then need to go back into the Program Schedule and alter the 'Ends On' date back to what it was eg. Was 10/12/24, changed to 31/12/24, change back to 10/12/24.
Viewing full Child List
To view the full list of children linked to the program, go to the Centres area of the menu and select Programs.
Across from the appropriate program, select the '... ' action and then Edit.
In the bottom right of the screen, edit the dates to match your program and all linked children for that period will display.
Managing a child in the program
Go to the Families area of the menu and select the child's account.
View child's existing program details
Go to the Agency tab and across from the child's program link, select the dropdown icon to view existing details for that child.
Edit a child's program details
Go to the Agency tab and across from the child's program link, select the '... ' then Edit.
You will then be able to edit previously added details for the child.
Update a child's program eligibility
To update a child's eligibility for special circumstances, you will now be able to select the affected week and adjust the child's status to Ineligible/Eligible. You will also be able to select a date range to mark the child as ineligible if they are not receiving QLD Kindergarten funding from your centre for a selected period of time.
Go to the Agency tab and across from the child's program link, select the '... ' then Update Eligiblity.
You will then be able to enter a single week or a date period to mark the child as Ineligible/Eligible. Once this has been entered, select Save.
To remove an updated eligibility period, select the rubbish bin icon next to the week, and Save.
Delete a child from the program
Go to the Agency tab and across from the child's program link, select the '... ' then Delete.
The child is then completely removed from the program.
