In Kangarootime you can manage your billing schedule at a Centre and individual account level.

Creating an automated Cycle template

To create automated billing cycles that suit the unique needs of your Business or Centre, navigate to the Billing menu and select Settings and then Cycles tab.

Below are the four different frequency cycles that can be set up. Weekly, Fortnightly, 4 weekly, and Monthly.

Create a Weekly Billing cycle template

A family will be charged every [week] on [Mon, Tues, Wed, Thurs, Fri, Sat or Sun]
I want the expected charges to be created [1, 2, 3, 4 or 5]

[days, weeks] before it is processed.
I will bill for the balance at the end of the [current week, previous week] of care,
plus [0 weeks, 1 weeks, 2 weeks, 3 weeks, 1 month] in advance (if current week was selected).

Create a Fortnightly Billing cycle template

A family will be charged every [2 weeks] on [Mon, Tues, Wed, Thurs, Fri, Sat or Sun]
I want the expected charges to be created [1, 2, 3, 4 or 5]

Create a 4 weekly Billing cycle template

A family will be charged every [4 weeks] on [Mon, Tues, Wed, Thurs, Fri, Sat or Sun]
I want the expected charges to be created [1, 2, 3, 4 or 5]

[days, weeks] before it is processed.
I will bill for the balance at the end of the [current week, previous week] of care,
plus [0 weeks, 1 weeks, 2 weeks, 3 weeks, 1 month] in advance

(if current week was selected).

Create a Monthly Billing cycle template

A family will be charged every [monthly] on [1st to the 28th]
I want the expected charges to be created [1, 2, 3, 4 or 5]

[days, weeks] before it is processed.
I will bill for the balance at the end of the [current week, previous week] of care,
plus [0 weeks, 1 weeks, 2 weeks, 3 weeks, 1 month] in advance

(if current week was selected).

Note: For the monthly cycle - On the monthly day you choose to take money from the parents each month, the system will charge the family for the balance + current week and four weeks from the Sunday date of the current week.

eg. Each month, the collection date is 4th
June the 4th is a Saturday
Money will be collected for the current balance + sessions during: 30th May, 2022 (Monday of current week)

and 5th July, 2022 (four weeks from Sunday of current week)

Select Preview to see the Billing Cycle summary, where you can:

Confirm the details are correct
Rename the billing cycle
Save the Billing cycle to a Business (available in all centres for that business)
Save the Billing cycle to a specific centre

Now go to the individual accounts in the Centre and apply the appropriate template to their Billing.
