Change of CRN holder scenarios

All changes should only be relevant to back date in the current financial year.  CCS may not pay back for any changes past 28 days. 

 

Change of CRN holder for entire period

 

Scenario 1: Primary Guardian listed and CCS Enrolment created -CCS Enrolment has a status of 'pending eligibility' (not connected to CCSS)

  • Remove submitted Sessions against incorrect Enrolment (wait 2hrs for these to withdraw at CCS)

  • Remove Incorrect CCS Enrolment (see Managing CCS Enrolments with Incorrect Data for assistance)

  • Create CCS Enrolment backdated to start date of attendance for child under correct guardian

  • Add sessions back on attendances. Sessions will submit for past period under new CCS Enrolment

Scenario 2: Primary Guardian listed and CCS Enrolment created -CCS Enrolment has a status of confirmed (connected to CCSS)

  • Delete sessions linked to incorrect CRN holder (wait 2hrs for these to withdraw at CCS) 

  • Remove CCS Enrolment that is the incorrect parent (see Managing CCS Enrolments with Incorrect Data for assistance)

  • Create CCS Enrolment backdated to start date of attendance for child under correct CRN holder

  • Add child back on the class for attendances that were removed

  • Session will submit  for past period under new CCS Enrolment


 

Change of CRN holder from particular date

 

Scenario 1: Mother was primary contact and CRN holder, mother has been deployed overseas for more than 6 weeks. Father will need to be primary contact and CRN holder for child/ren.

  • End contract under mothers account for the Sunday of the last week the Mother will be the CRN holder.

  • Create new account with Father as CRN holder

  • Create new contract on the account starting from the Monday after the Mothers account has been ended

  • Create CCS Enrolment on new account

Scenario 2: Mother was primary contact and CRN holder, mother and father have now separated and will have shared custody of child/ren. Each guardian will pay attendances for 1 week of each fortnight. (Confirm date of change) 

  • Change contract under on account with Mother as primary contact and CRN holder to fortnightly with the days of the fortnight she will pay for.

  • Create new account with Father as CRN holder

  • Create new contract on the account with the days that the Father will pay for in the fortnight

  • Create CCS Enrolment on new account with Fathers details

    *If any attendances for past submitted period need to change they will need to be removed from incorrect account and added to correct account*
