Add Children to a Kindy For All (QLD Kindergarten 2023) program

For QGrants reporting, children who meet funding eligibility requirements will need to be added to the Kindy For All Queensland Kindergarten 2023 program that you create.

Adding a child to the Program

 

Go to the Families area of the menu and select the account profile for the Kindy child.

 

Select the Agency tab, then + Create

 

Enter the program details for the child or children.  

 

Account to be Paid

 

Select the Account to be paid.  This is an indicator only, if the child is not eligible for Affordability Funding they will not receive any payments.  If they are eligible, this flags with the system to make the automated Affordability Funding payment to the account (each week).

 

KT will scan weekly for any child who has begun at the centre after the term has started that meets Affordability Funding requirements and make their quarterly payment at that time.

 

Note: The Affordability Funding payment occurs each week.

 

Est last paid date

 

Only use this option if the family has received Affordability Funding at another centre for the week. This will prevent payment until the next week.

 

Note: If you have more than one child on the account eligible for the funding, but only one received a payment last quarter, you will need to create two separate Program details.

 

If they do not have a health care card, are not a delayed exit child or a multiple birth child, select Save.

 

 

Concession Card

 

If the family has a concession card to enter, drop down the + Concession Card option and enter the card details. You will also need to upload a document relevant to the Concession Card before it will allow you to Save

 

 

Delayed Exit Information

 

If the child has a delayed exit from Kindergarten, drop down the + Delayed Exit Information option and enter their details. You will also need to upload a document relevant to the Delayed Exit Information before it will allow you to Save

 

 

Multiple Birth Information

 

If the child is a triplet or above, drop down the + Multiple Births Information option and select the children that this applies to from the family list and Save.

 

 

Adding a child to an Inactive program

 

If the program has ended and has an 'Inactive' status this will mean the program is completed for that period. 

 

If this is the case, you need to re-activate the program by adding an Ends On date in the future. This will then allow you to go back into the Family Account and add the child through the Agency Tab (See Step 1).

 

The program details will open and you need to alter the Ends On date to a date that is after the date of today and select save. 

Once you have followed Step 1  - adding the child you then need to go back into the Program Schedule and alter the 'Ends On' date back to what it was eg. Was 10/12/21, changed to 31/12/21, change back to 10/12/21. 

 

Viewing full Child List

 

To view the full list of children linked to the program, go to the Centres area of the menu and select Programs.

 

Across from the appropriate program, select the '... ' action and then Edit.

 

In the bottom right of the screen, edit the dates to match your program and all linked children for that period will display.

 

 

 

Managing a child in the program

 

Go to the Families area of the menu and select the child's account.

 

View child's existing program details

 

Go to the Agency tab and across from the child's program link, select the dropdown icon to view existing details for that child.

 

 

Edit a child's program details

 

Go to the Agency tab and across from the child's program link, select the '... ' then Edit.

 

You will then be able to edit previously added details for the child.

 

 

Delete a child from the program

 

Go to the Agency tab and across from the child's program link, select the '... ' then Delete.

 

The child is then completely removed from the program.

Why are children not showing on the Queensland Kindergarten funding report?

 

1. Did the child turn 4 years before June 30 of the year you are claiming for?

2. If the child has delayed exit to school, have you entered the Delayed Exit information for the child?
