Navigating and Actioning Online Waitlist Requests

This guide will assist you with the information on the waitlist and how to appropriately action them. 

 

TABLE OF CONTENTS

 

Select Lead Management  from the Enrolment menu 

 

 

 

Select the centre you are wanting to view

 

Lead Management

 

 

You can the view each field by selecting that tab or filter by care type or days 

 

 

 

Waitlist

 

This will show you list of new waitlist enquiries that you have received for the centre selected. Selecting the drop down option on the enquiry will display the information of the request. 

 

 

Check Availability

This will take you to the Enrolment management section with the child information pre-poulated, allowing you to see if the age of the child matches availability you have in the classes, based on their set up. 

 

Make Offer

Enter the class, fee and start date, (end date is optional) you are offering the child

Select the frequency and days that you are offering

You can send offer, the parent is emailed the offer

 

 

Offered

 

This will show a list of entries that you have offered a position to.  By selecting the drop down on the entry you can see all the details associated with the waitlist request and offer sent, and resent the offer if required.

 

 

Accepted

This will show any families that have accepted the offer, but have not completed the enrolment form

 

Completed

This will show any families that have submitted the enrolment form and the account is now visible in Kangarootime

 

Once the parent has accepted the offer they are prompted to complete the enrolment form and once they successfully submit the account will create in Kangarootime

Lost Opportunities

This will show any waitlist enquires that you have actioned as lost 

 

You can then: 

Create the CCS Enrolment for child

Apply a billing cycle to individual account

Add children to QKFS program if eligible Queensland service
