Managing Class Closures at your Centre

This feature will allow you to close one or more classes at your centre for a single day or period of time.  It also allows you to mark all children as Absent in the same action.

Permissions

To allow your employees to use this feature, you will need to ensure they have the following permission:


Record Keeping > Casual Booking Management



Close Class - Mark Students Absent

If your centre is closed and the students need to be marked as Absent, navigate to Attendance in the menu, then select Attendance/Bookings from the drop down options. Select the Manage Closures button in the top right.



Select the class or classes that you would like to close and mark the children as Absent.



Select a Time Range:


Single - Add the date for closure

Multiple - Add a Start and End date for closure


The default choice is to close and Mark Students Absent.  Review the details you have entered and Save.


Close Class - Clear Bookings

If a class is closed and the existing bookings need to be cleared, go to the Attendance screen. 


Select the Manage Closures button in the top right.


Select the class or classes that you would like to close.  Please note: Once you close a class and clear the bookings, you cannot bring them back automatically.  You will need to manually add them back in.


Select a Time Range:

Single - Add the date for closure

Multiple - Add a Start and End date for closure


Select the Clear Bookings option. Carefully review the details you have entered and Save.



Additional Closures

In both circumstances, you are able to create multiple closures at the same time.


Select the + Add Additional Closures button and make your selections then Save.




Opening a Closed class

You have the opportunity to open a closed class from the Overview table on the Attendance screen.


Select Open Class. You will receive a confirmation pop up to Confirm.




When you confirm, the class will be open.  Attendances that were not charged before the roll was closed can be returned by refreshing the screen.


As mentioned above if an Attendance was charged, when the class is closed the session will be voided.  This means you will need to manually add them back onto the Class roll.
